Hosting Data Locally Provides Quicker Relativity Response Time
Six million. That’s how many documents we’re hosting at our new kCura Relativity hosting center since it opened in August. Thanks to the hard work of a dedicated SF Legal team, expansion into this sparkling new SaS 70 Level II Certified co-location facility in downtown San Francisco was completely transparent to our clients. While accessing data from kCura’s Chicago hosting facility was already fast and easy, our new co-location significantly reduces response times and helps us set up the data for client access more quickly. This new facility is connected to our main offices in the heart of the financial district with a dedicated 1 GB fiber optic connection – well beyond normal bandwidth requirements – with data flows as fast as in the largest of corporations. That helps us save you time and money, with lightning-fast access to the most historically accurate and information-rich data you need to win your case.

Relativity Help Line Leverages Solutions Database
Need help controlling e-discovery costs, improving process management or reducing risk? Our new Relativity ticketing system ensures that every client request for help is tracked, followed up, and filed for future reference. By accessing a database of all past service requests, we can answer your questions faster and more efficiently. Plus, mining the database empowers us to develop custom plans that will give you greater insight into your review data. It’s like having your own personal help line without the call-center chaos! Here’s how we’ll provide you with fast, effective solutions:

  1. Call us at (415) 392-2900 with your Relativity question or challenge. After thoroughly analyzing your situation, we’ll suggest a solution that could significantly speed up processes and reduce cost.
  2. With each call, the SF Legal Service Team creates a new “ticket” to capture both the problem and the solution.
  3. The next time you call, we can reuse knowledge gathered from all client tickets to provide you will a solution fast.

Client Saves Time and Money with Single Relativity Database
Our expansion has helped us do our job better. Here’s a snapshot of a recent project.

Situation: Over time, a client received multiple versions of documents already in their database. Several hundred documents were provided by opposing counsel with redaction different than originally produced and loaded into Relativity. The team wanted to be able to compare the different versions without having to build additional databases.
Solution: SF Legal used Relativity’s ability to link multiple production versions of a document to a single database record.
Benefit: Instead of having to build multiple databases to house the additional images, the client can view all production images associated with a single database record. This eliminated the time that would have been spent moving back and forth between two (or more) databases trying to compare the images. Additionally, by using Relativity’s ability to “freeze” a document in a standalone viewer, the client is able to compare two versions of a document side by side with nothing more than a few mouse clicks. The cost savings associated with maintaining a single database made this a solid win for our client.

We’re Here to Serve

Robert Beauparlant, database administrator
Robert helps keep the Relativity database server up and running and monitors the platform for optimum performance. By performing regular database audits, he ensures that all of your data is indexed and error-free.

Henry Yeung, hosting support and e-discovery engineer
Henry operates from behind-the-scenes by uploading, organizing and formatting your data. He also provides one-on-one hosting support so you learn how to get the most out of a document. Wondering what features Relativity offers to suit your unique needs? Let Henry fill you in on the platform’s capabilities – we know you’ll be impressed.

Cesar Noriega, hosting support
Cesar handles incoming calls from the front line. He knows the ins and outs of Relativity and can show you how to use some of the more advanced features. For example, if you attended a Relativity training session but are confused about how to use the text redaction application, give Cesar a call and he’ll walk you through it.

As client workloads grow, so does the need for support. That’s why SF Legal is on the front lines to provide Relativity users the assistance they need, when they need it. We’re not just around when you call; we’re constantly working behind the scenes to customize Relativity with our own strategies, QC steps, workflow queues, audit steps and training tools built right into the interface so that your questions can be answered at virtually any time of day.

Tips and Tricks from Discovery Solutions Consultant, Dave Swider.
To use Equivio to compare documents, launch a standalone document viewer that will stay “frozen” on a single document while you view others. This will let you compare images side by side as you navigate through the near duplicate groups.

To find documents that haven’t had any determinations made on them, use the “not set” value. This allows you to find documents that don’t have a value in a field. Build a Saved Search and query your field for “not set.” “Not set” is the same as “empty.”

To find documents between two dates while using filters, use the “between” operator. To find documents between 1/1/09 and 10/1/09, use the string “1/1/09 between 10/1/09” in the filter box above the date. This will return all documents on those dates and any date in between.
